How to customize workflow email body?

Hello everyone, today we will discuss about customizing work flow email body.

Steps to customize workflow email body using SharePoint designer workflow

  • Open your site from SharePoint designer 2013.
  • Create a Custom workflow on the list
  • Enter Name “Send an Email” and description “Send an email when customer data added”.
  • Select workflow platform target “SharePoint 2013 workflow” and click OK.
  • Then you can choose send an email action or just type send an email press enter.
  • Click on “these users” here to format the email message is below screen shot.
  • Select To to whom to send an email which highlighted in rectangle in above image.  Configure select users pop up add ‘User who created current item’ then click OK.
  • Write subject in email massage and leave it email body empty then click ok.
  • Select email and then right click where drop down menu comes select Properties.
  • Clicking properties menu ‘Send an email properties’ popup appear in which we click on string builder (…) under email body.

  • For customize email body add below html in between body section. To save email body then click on ok.

  • Click on email then add current item customer name, address, region and country then click ok to save entire email massage.

  • Then End’s workflow transition after that save and publish workflow.

  1. Hi, Thank you for showing this above method, can you please tell how to do this same for multiple items from the list?
    Like I want to send status email of all list items who status is pending in above format?

    1. Make HTTP request by status, Create a string variable, append response data using the loop in the string and add that string to Email body. refer this article
